Objective: To provide clear instructions for administrators to identify, manage, and designate the primary funding source for payroll disbursements when multiple corporate bank accounts are integrated into the system.
Accessing Payroll Configurations {audience: admin} #
- Navigation: Click on the Settings gear icon in the main dashboard.
- Module Selection: Select Payroll from the settings menu.

Inventory of Linked Accounts {audience: admin} #
- Select the Bank Accounts tab to view all currently integrated financial institutions.
- Assessment:
– Single Account: If only one account is visible, the system defaults to this source automatically. No further action is required.
– Multiple Accounts: If two or more accounts are listed, proceed to designation.
Designating the Default Funding Source {audience: admin} #
- Identify: Locate the specific account intended for the upcoming payroll cycle.
- Action: Click the Action Menu (three-dot icon) located on the right-hand side of the account entry.
- Set Default: Select Make Default from the dropdown menu.
- Validation: Look for a “Default” badge or indicator next to the account name to confirm the selection was saved successfully.
Verification & Audit {audience: admin} #
- Pre-Run Check: Always verify the active default account at least 24–48 hours before finalizing a payroll run to ensure funds are drawn from the correct liquid source.
- Future Changes: If a different account is required for a specific off-cycle or future bonus run, these steps must be repeated prior to that specific processing date.
Cautionary Notes {audience: admin} #
- Avoid Disbursement Delays: Selecting an incorrect account can lead to NSF (Non-Sufficient Funds) errors or delayed employee payments.
- Account Status: Ensure the “Default” account is active and has been fully verified (via micro-deposits or Plaid) before initiating a transfer.
- Timing: Avoid changing the default account while a payroll batch is currently “In Progress” or “Processing.”
Pro-Tips for Financial Control {audience: admin} #
- Naming Conventions: Rename your bank accounts in the system to reflect their purpose (e.g., “Payroll Reserve – Chase” vs. “Operating – BoA”).
- Audit Trail: Keep a manual log of when the default funding source was changed and by which administrator for internal compliance.
