How to Void a Payroll & What Voiding a Payroll Does #

What Does It Mean to Void a Payroll? #

Voiding a payroll removes that payroll from all tax reporting. When a payroll is voided:

  • It will not appear on the employee’s W-2.
  • It will not be included in quarterly tax filings.
  • A reverse (negative) payroll entry will appear in Payroll History to offset the original payroll.

Voiding a payroll does not guarantee that net pay or taxes can be recovered. Recovery depends on timing and how the employee was paid.

When Should You Void a Payroll? #

Voids are used in two main situations:

An Employee Was Paid Incorrectly #

  • The employee should not have been paid at all.
  • The employee was paid the wrong amount.

You can void the payroll for one specific employee or the entire payroll for all employees.

A Payroll Has Failed #

Voiding a failed payroll is handled separately in the Failed Payrolls section.

How to Request a Payroll Void {audience: admin} #

Voids must be requested by emailing support.

Send an email to: support@fridayapp.com

Include the following:

  • Company name
  • Payroll date
  • Employee(s) that need to be voided
  • Reason for the void
  • Whether the void is for one employee or the entire payroll

What Happens to Net Pay When a Payroll Is Voided? #

Direct Deposit Employees #

  • If the deposit has not yet reached the employee, we can stop the direct deposit and return the funds to the employer.
  • If the deposit has already reached the employee, we will attempt to pull the funds back. This is not guaranteed. If there are no available funds in the employee’s account, recovery will fail.

Paper Check Employees #

  • If the check has not been given to the employee, the check can be destroyed.
  • A void still needs to be completed so the W-2 and filings remain accurate.

What Happens to Taxes When a Payroll Is Voided? #

  • If taxes have not yet been submitted to the IRS or state, they will be reversed.
  • If taxes have already been submitted, they cannot be pulled back. The IRS or state will see the overpayment at the end of the quarter and will send a refund check to the employer. This can take time, but W-2s and filings will be correct.

How Voids Appear in Payroll History #

When a payroll is voided:

  • An additional payroll entry will appear in Payroll History.
  • It will have the same pay period as the original payroll.
  • All amounts (gross, net, employee taxes, employer taxes) will appear as negative values.
  • These negative values offset the original payroll to correct all year-to-date totals.
