How to View and Manage Time Sheet Data in the Friday Mobile App (Employer Guide) #

Employers can use the Friday mobile app to review employee time sheets, view daily time activity, and manually edit or create time records. This guide walks you through:

  • Viewing company-wide timesheet totals
  • Switching pay periods and pay schedules
  • Viewing employee-level time sheet reports
  • Viewing daily time records
  • Creating or editing time records

Accessing Time Sheet Data #

Step 1: Open the Time Sheet Section #

  1. Open the Friday mobile app.
  2. Log in using your company admin account.
  3. Tap Timesheet in the bottom navigation bar.

You will now see time sheet totals for all employees.

Understanding the Time Sheet Totals Page #

By default, the app displays totals for the current pay period, based on your company’s pay schedule.

Examples: #

  • Weekly pay schedule: shows this week’s totals
  • Monthly pay schedule: shows this month’s totals

Each employee’s row will show their total hours for the selected period.

Switching Pay Periods or Pay Schedules #

At the top of the screen:

Change the Pay Period #

Tap the Pay Period Selector at the top to choose a different period.

Change Pay Schedule (Premium Feature) #

If you are on the Premium Plan with multiple pay schedules:

  • Tap the Pay Schedule Selector at the top.
  • Choose which schedule’s time sheet data you want to review.

Viewing an Employee’s Detailed Time Sheet Report #

To expand an employee’s time sheet:

  1. Tap the employee’s name from the totals list.
  2. This opens a detailed report for the selected pay period, showing:

Summary Totals (Top Section) #

  • Total hours
  • Overtime hours
  • Lunch/break hours (if applicable)

Daily Breakdowns #

For every day in the period, you will see:

  • Total hours worked
  • Break time
  • Overtime
  • First clock-in time
  • Last clock-out time

Viewing Time Records for a Specific Day #

To open time records for a certain day:

  1. In the employee’s detailed report, find the day you want to view.
  2. Tap the View button for that day.

You will see: #

  • Individual records such as:

– Work segments
– Lunch/break segments
– Additional shifts

  • Start and end times
  • Notes added by the employee during clock-in or clock-out
  • Job costing assignments (customer/project) if enabled
  • Overtime or break classification

Creating a Manual Time Record #

Admins can add missing entries directly from the app.

Step-by-step: #

  1. From the Time Sheet page → choose the employee.
  2. Open the day you want to modify by tapping View.
  3. Scroll below the time record list.
  4. Tap Create Time Record.

You will be prompted to enter:

  • Start time
  • End time
  • Customer (if job costing is enabled)
  • Project (if job costing is enabled)
  • Time record type (Work or Break)
  • Notes (regular note + end note)

Tap Create to save the new time entry.

Editing an Existing Time Record #

To update a record:

  1. Tap the pencil icon next to the time record.
  2. Edit any details:

– Start or end time
– Customer/project
– Record type
– Notes

Tap Update to save changes.

Understanding Clock-In Source Icons #

Next to each time record, an icon shows how the employee clocked in:

  • 🖥️ Desktop icon = Clocked in using the web dashboard
  • 📱 Phone icon = Clocked in using the mobile app
  • 📟 Tablet icon = Clocked in using the tablet kiosk
  • ✏️ Pencil icon = Manual or edited time record

This helps admins audit employee time and understand adjustments.
