How to Process Payroll Using the Friday Mobile App (Employer Guide) #
This guide walks employers through using the Friday mobile app to process regular payrolls, off-cycle payrolls, and expedited payrolls (wire payments). It also includes general instructions on editing employee earnings.
Processing a Regular Payroll #
Step 1: Open the Payroll Section #
- Open the Friday mobile app.
- Ensure you’re logged into your employer account.
- Tap Payroll in the bottom navigation.
- Tap Choose a Pay Period.
- Select the pay period you want to run and tap Process Payroll.
Step 2: Review Payroll Details #
Verify:
- Pay Date – When employees receive pay (direct deposit date).
- Debit Date – When funds are withdrawn from your business bank account.
- Bank Account – The account that will be debited.
- Employee Earnings – Gross amounts, hours, salaries, etc.
Tap Continue if everything looks correct.
Step 3: Review Payroll Summary #
You will see:
- Total Payroll Amount
- Pay Date & Debit Date
- Total Debit Amount
- Breakdown of:
– Gross pay
– Net pay
– Taxes
– Deductions
– Benefits
- Per-employee totals
Tap Confirm & Process when ready.
Step 4: Payroll Confirmation #
After processing, you will receive:
- A success confirmation
- A summary including:
– Pay date
– Period start & end
– Totals and breakdowns
You can view full payroll details on the next screen.
Understanding Regular vs. Off-Cycle Payrolls #
Regular Payroll #
A payroll that follows your company’s established pay schedule (weekly, biweekly, semimonthly, monthly).
Under Choose Pay Period, you will see:
- The period start & end dates
- The pay date
- The deadline to process payroll (“process by” date), based on your payroll processing window
Note: If employees are paid via printed checks, you can process same-day because no ACH processing time is required.
Processing Times #
Each company has a set processing period for direct deposits:
- 2-day
- 3-day
- Next day
Payrolls can be expedited via wire payment even if you’re normally on longer processing times.
Off-Cycle Payroll #
An off-cycle payroll is not part of your regular schedule. It is typically used for:
- Bonuses
- Additional one-time payments
- Corrections
- Special payouts
Off-cycle payrolls allow you to define custom pay periods and manually enter or override earnings.
General Payroll Editing Information (Applies to ALL Payroll Types) #
During payroll processing (regular OR off-cycle), you may need to review or edit employee earnings.
How to Edit Employee Earnings #
- On the employee list screen, tap the pencil icon next to an employee.
- You will see all earning types available for that employee.
Two Types of Earnings #
Hourly Earnings #
- Enter number of hours
- Enter hourly rate
- System calculates total earnings automatically
Example: 20 hours Ă— $20/hr = $400
Non-Hourly Earnings #
Examples include:
- Salary
- Bonus
- Commission
- PTO payouts
Set a flat amount (e.g., $1,000).
For PTO:
- Choose the PTO earning type
- Set the employee’s PTO rate
- Enter the number of PTO hours to pay
Additional Options #
You can also add:
- One-time deductions (not part of the normal payroll cycle)
- Reimbursements
Tap Update to save your changes.
Resetting Employee Earnings #
If you want to sync earnings with:
- Employee’s standard salary
- Submitted timesheets
tap Reset Data (bottom left). This restores all employees’ default earnings.
How to Process an Off-Cycle Payroll #
Step 1: Start an Off-Cycle Payroll #
- Go to the Payroll tab.
- Tap Process Payroll.
- Select Off-Cycle Payroll.
Step 2: Choose the Off-Cycle Period #
You can choose from:
- Weekly
- Biweekly
- Monthly
- Semimonthly
- Custom
If not custom, the end date will auto-populate based on the period type.
Then:
- Choose the Pay Date
- Optionally select specific employees (otherwise all eligible employees will be included)
Tap Continue.
Step 3: Review Off-Cycle Payroll Settings #
This screen shows:
- Pay Date
- Debit Date
- Bank Account funding payroll
If you have multiple bank accounts, choose which one to use.
Important for Off-Cycle Payrolls #
- Deductions and benefits are NOT included by default. Toggle Include Benefits and Include Deductions if needed.
Earnings Start at Zero #
Because off-cycle payrolls don’t rely on scheduled timesheets or salaries:

Step 4: Final Review #
Tap Continue to review:
- Taxes
- Totals
- Net pay
- Debit amounts
Tap Confirm & Process to complete the payroll.
How to Expedite Payroll Using a Wire Payment #
If you want employees to receive direct deposits faster than your standard processing window, you can expedite via wire.
Step 1: Begin the Expedite Process #
During Step 2 of payroll processing:
- Tap the Expedite button (bottom-right, bank icon)
Fee: $75 per wire payroll.
Step 2: Select the Payment Card #
Choose a credit card on file → Tap Use This Card → Tap Continue.
Step 3: Choose When Funds Should Arrive #
Options may include:
- Today (same-day)
- Next business day
Same-Day Wire Rules #
- Friday must receive your wire before 3:00 PM EST
- “Today” option only appears if you start before 2:00 PM EST (to allow time to send the wire)
If after 3 PM → next business day is the only option.
Step 4: Wire Transfer Instructions #
After confirming:
- The payroll is created
- You receive:
– On-screen confirmation
– Email with full wire instructions
The email includes:
- Bank name
- Routing number
- Account number
- Account name & address
- Exact wire amount
- Deadline to send the wire
You MUST send the wire in time for employees to receive their deposits on the selected date.
