How to Process Payroll Using Multiple Bank Accounts (Employer Guide) #
By default, Friday drafts payroll funds and tax payments from a single bank account connected during company setup. However, you can add multiple bank accounts and select which account to use for each payroll.
This guide covers:
- How to add additional bank accounts
- How to set a default bank account
- How to delete a bank account
- How to choose a bank account when processing payroll
- Important rules and limitations
Understanding How Bank Accounts Work in Friday #
When your company is set up:
- You link one bank account
- Friday drafts payroll funds and taxes from this account
- This becomes your default bank account
You can add more accounts at any time, and when running payroll you may choose which account funds the payroll.
Adding Additional Bank Accounts (Web Application) #
To add more bank accounts:
Step 1: Open Payroll Settings #
- Go to the Friday web application.
- Click Settings in the left-hand menu.
- Click Payroll.
- Select Additional Payroll Settings.
Step 2: Open the Bank Accounts Page #
- In Additional Payroll Settings, click Bank Accounts.
- You will see your existing bank account(s).
Step 3: Add a New Bank Account #
Click Add Bank Account. You will have two methods to connect:
Option 1: Link Automatically With Plaid #
- Select Link with Plaid.
- Click Add Account.
- A Plaid window will open.
- Log in to your bank (e.g., Chase).
- Select the account to connect.
This securely links your bank account instantly.
Option 2: Manually Provide Bank Details #
- Click Provide Account Details.
- Enter:
– Routing number
– Account number
- Click Add Account.
Once added, the new account appears in your bank accounts list.
Setting a Default Bank Account #
Only one bank account can be the default. The default bank account is used automatically when processing payroll unless manually changed.
To change the default account: #
- Find the bank account you want to make default.
- Click the three dots (â‹®) next to the account.
- Select Make Default.
The new account becomes the default. The old default account remains available but is no longer primary.
Deleting a Bank Account #
You cannot delete a bank account if it is currently the default.
To delete a bank account: #
- First ensure it is not the default.
– If it is, assign a different default account using Make Default.
- Click the three dots (â‹®) next to the account.
- Select Delete.
The account will be removed from your payroll funding options.
Choosing a Bank Account When Processing Payroll #
When running payroll, Friday automatically selects your default bank account unless you choose a different one.
Where to select the bank account: #
- Start processing a payroll (regular or off-cycle).
- On the Time & Earnings page, look at the top where you’ll see three widgets:
– Pay Date
– Debit Date
– Bank Account
- The Bank Account widget shows the currently selected account (e.g., ending in 1234).
- Tap the bank account widget to choose a different account.
When you:
- Select another bank account
- Then tap Save & Continue
→ That payroll will be debited from the bank account you selected, even if it’s not the default.
Important Notes #
Note 1: Adding or Changing Bank Accounts Does NOT Update Existing Payrolls #
Even if a payroll is still in Draft:
- Adding a new bank account
- Changing the default account
does not change the bank account assigned to that already-created payroll.
To update the bank account on an existing payroll, you must:
- Edit the payroll and manually select a new bank account, or
- Delete and recreate the payroll
Note 2: Payroll Bank Accounts Only Affect Debits and Direct Deposits #
The accounts you add here are used only for:
- Drafting payroll funds
- Drafting tax payments
- Sending direct deposits to employees
They do not affect the account & routing information on printable checks
