How to Cancel, Delete, or Reopen a Payroll #

As an admin, you may need to cancel or reopen a payroll. There are two actions:

  • Delete Payroll: Completely removes the payroll and places it back in the Upcoming Payrolls section.
  • Edit (Reopen) Payroll: Reopens the payroll so you can make changes and reprocess it.

Payroll Cancellation Time Windows {audience: admin} #

If You Just Processed the Payroll #

  • You have 1 hour to delete or reopen the payroll.

If the Payroll Was Processed Earlier #

  • You have until 3:00 AM the next day to cancel the payroll.

Examples #

  • Payday Friday, 2-day window, payroll processed Monday: can cancel until Wednesday at 10 AM.
  • Payroll processed Tuesday: can cancel until Wednesday at 10 AM.
  • Payroll processed Wednesday at 12 PM: can cancel until 1 PM that day. After that, it cannot be canceled.

Difference Between Delete and Reopen {audience: admin} #

Delete Payroll #

  • Fully cancels the payroll.
  • All payments are removed.
  • Payroll returns to the Upcoming Payrolls list.

Edit (Reopen) Payroll #

  • Reopens the payroll for changes.
  • Payments are not deleted.
  • After editing, click Save & Continue, then Confirm & Process.

How to Delete or Reopen a Payroll {audience: admin} #

  1. Log in as an admin.
  2. Click Payroll on the left menu.
  3. Find the payroll you want to edit or delete (usually the top payroll marked Pending).
  4. Click the circle with the three lines next to the payroll.

Option A: Reopen (Edit) Payroll #

  1. Click Edit Payroll.
  2. Review or change the payroll details.
  3. Click Save & Continue.
  4. Click Confirm & Process.

Option B: Delete Payroll #

  1. Click Delete Payroll.
  2. Confirm by clicking Delete.
  3. The payroll will be removed and returned to Upcoming Payrolls.

Notes #

  • Once the cancellation window closes, the payroll cannot be deleted or reopened.
