How to Access and Update Employee and Contractor Profiles #
Objective: To provide a standardized procedure for accessing and updating the profile data of W-2 employees and 1099 contractors within the Friday platform, ensuring data integrity for payroll accuracy and regulatory compliance.
Managing Employee Profiles (W-2) {audience: admin} #
Accessing the Profile #
- Log in to the Friday Administrative Portal.
- Select Team from the primary navigation sidebar.
- Click on the Employee’s Name to open their comprehensive profile view.
Modifying Core Identity Data #
- Click the Pencil Icon (Edit) located in the profile header or the specific section you wish to update.
– Legal Name: Must match the name on their government-issued ID for accurate tax reporting.
– Email: Use the ‘Change Email’ link. Note: This will update their login credentials and trigger a verification email.
– Date of Birth: Essential for age-related labor compliance and benefits eligibility.
– Mobile Number: Required for secure Two-Factor Authentication (2FA).
– SSN: Click the ‘Update’ link to securely modify the Social Security Number.
Updating Residential Address #
- Scroll to the Address section.
- Enter the new residency details.
- Critical: Accurate address data is required to determine correct state and local tax jurisdictions.
- Click Submit to finalize the update.
Managing Contractor Profiles (1099) {audience: admin} #
Accessing the Contractor Profile #
- Navigate to the Team section.
- Select the Contractors tab to filter your view to 1099 workers.
- Click the Contractor’s Name to open their profile.
Updating Contractor Data #
- Click the Pencil Icon to enable edit mode and update the following fields as required:
– Legal/Business Name: Ensure this matches the name registered with the IRS (as per their W-9).
– Tax Identifier: Update the EIN or SSN associated with their business entity.
– Contact Info: Update their email, mobile phone, and date of birth.
– Business Address: Update the primary place of business for 1099-NEC reporting.
- Click Submit to save changes.
Compliance & Best Practices #
- Document Verification: Always verify changes against a physical W-4 or W-9 form before submitting updates to the system.
- Communication: Notify the worker before changing their email address, as this will alter their login username and may temporarily interrupt their access.
- Data Integrity: Incorrect SSN/EIN or Address data can lead to failed payroll tax filings and IRS penalties.
