Changing Payment Methods and Printing Checks #
Admins may sometimes need to change how an employee is paid, or print checks instead of using direct deposit. This guide covers all steps, including payroll notes, previews, and check printing options.
Changing Payment Method {audience: admin} #
You can switch an employee’s payment method at the payroll stage:
- Go to Payroll → Process Payroll.
- Review employee information (names, hours, lunch, overtime, salary, and additions).
- Locate Payment Method for the employee:
– Options: Direct Deposit, Printable Check
- Select the desired method.
Tip: Use Check if you’ve already paid the employee outside the system and just want to record payroll.
Adding Payroll Notes {audience: admin} #
- Click the small pencil icon under the Notes section.
- Type your note (e.g., “Happy Holiday” or “Bonus Paid”).
- Click Save → note will appear in the Paystub tab.
Previewing Payroll {audience: admin} #
- Download a preview Excel sheet showing:
– Gross pay
– Employee taxes (federal, state, income, Social Security, Medicare)
– Employer contributions (Social Security, Medicare, federal/state unemployment)
Ensures accuracy before processing payroll.
Confirming Payroll and Paystubs {audience: admin} #
- Click Save and Continue → Confirm Process Payroll.
- Paystubs can then be:
– Downloaded for printing
– Viewed by employees in their system
Printing Checks {audience: admin} #
Two options exist for printing checks:
Download Check (Blind Checks) #
- Used with pre-printed checks (company logo, bank info, check numbers).
- Prints employee name, address, and amount only.
Download Full Check #
- Prints checks on blank checks (no pre-printed info required).
- First-time setup requires:
– Employer bank account number
– Routing number
– Bank name
- Optionally, upload signature → automatically applied to all checks.
- Once saved, future full checks can be printed directly from PDF.
Updating Check/Bank Information {audience: admin} #
- Go to Settings → Payroll → Additional Payroll Settings → Full Check Settings.
- Update:
– Bank account number
– Routing number
– Bank name
– Check signature (optional)
Saves time for future payrolls; no need to manually sign checks if signature uploaded.

Q1: Can I change a payment method after processing payroll?
Yes, you can edit before confirming payroll. Once payroll is confirmed, payment method changes require a payroll reversal or off-cycle payroll.
