Adding and Managing Employee Bank Accounts #

Admins may need to add or manage an employee’s bank account in the payroll system. This guide covers exact clicks, sections, verification, and net pay split.

Key Considerations #

  • Best practice: Employees should add or update their own bank accounts to prevent errors or fraud.
  • If the employee cannot do this, verify ownership using a cancelled check.
  • If no bank account exists, the system defaults to paying by check.

Adding a Bank Account #

  1. On the left-hand side, click Team.
  2. Select the employee name.
  3. Click the payment settings tab.
  4. Click the + Add Bank Account button.
  5. Enter the following details:

Account number
Routing number
Default payment method: Direct Deposit
Account type: Checking or Savings

  1. Click Submit.

Verification takes 2–3 business days. Payroll can still be processed during this period, but if any details are wrong, the payment may bounce.

Two-Factor Authentication #

  • After submitting a bank account, a code will be sent to your phone.
  • Enter the code to complete setup.
  • This prevents unauthorized changes, even if someone has admin access.

Adding a Second Bank Account and Configuring Net Pay Split #

  1. In the Team → Employee → Settings → Payments section, click + Add Bank Account for the second account.
  2. After both accounts are added, click the small gray “Configure Net Pay Split” icon (next to the plus button).
  3. Choose how to divide funds:

Dollar amount: e.g., $100 to Account 1, remainder to Account 2
Percent: e.g., 10% to Account 1, remainder to Account 2

  1. Toggle the account status from Off → On.
  2. Set priority for which account gets funds first.
  3. Click the green Save Place button.

Payrolls will now automatically split funds according to the configured dollar or percent amounts.

Changing Default Payment Method #

  • Even with a bank account, you can make Check the default method:

1. Go to Team → Employee → Settings → Payment Settings
2. Click the pencil icon
3. Select Default Payment Method: Check
4. Submit and enter the two-factor authentication code

  • During payroll processing, you can manually select Check or Direct Deposit for that run.

Important Notes #

  • Payroll may bounce in the first 2–3 days if account verification fails.
  • Always verify employee ownership of the account before submitting.
  • Multiple accounts require proper configuration to ensure net pay is split correctly.
